This page explains what personal data Aussie-AI Ltd (“we”) handles, why, and what you can do about it. We are the data controller for the processing described here. Contact: info@aussie-ai.co.uk.
If we contacted you and you’ve never dealt with us
This section is our notice under Article 14 of the UK GDPR — the rules that apply when an organisation obtains personal data from somewhere other than the person themselves.
- What we hold: your business name, trading address, business phone number and/or business email, your public Google Business Profile details (rating, review count, categories, opening hours), your website address, and information from the public Companies House register. Where the business is a sole trader or partnership, some of this is personal data.
- Where we got it: publicly accessible sources only — Google Search and Google Maps business listings, your own website, the Companies House public register, and public trade directories.
- Why we use it: to assess whether our service is relevant to your business and, where it appears to be, to contact you once about it.
- Lawful basis: legitimate interests (Article 6(1)(f)) — our interest in offering a relevant business service, balanced against your interests. We only use business contact details, we contact you in a business capacity, and we stop immediately on request.
- How long we keep it: if you don’t respond or you ask us to stop, we delete your details within 30 days, apart from a minimal suppression record (business name and contact point) kept so we do not contact you again by mistake.
- Who we share it with: nobody, other than the service providers described below. We do not sell or rent data.
Want us to stop? Reply to any message we send, or email info@aussie-ai.co.uk with “remove”. No explanation needed, and we won’t ask for one.
If you contact us
We keep your name, contact details and what you wrote, so we can reply and keep a record of the conversation. Lawful basis: legitimate interests, or steps taken at your request prior to entering a contract. Kept for up to two years from the last contact unless you become a customer.
If you become a customer
To run the service we process, on your instructions and as your processor:
- Your callers’ phone numbers, voicemail audio and a written transcript of it — so we can text them back and send you a readable message.
- Your customers’ names and mobile numbers, where you supply them, so we can send the review request and one reminder.
We do not use this data for anything other than delivering your service. Voicemail audio and transcripts are retained for 30 days and then deleted. Customer contact details supplied for review requests are deleted once the request and its single reminder have been sent, or on your instruction. A written data-processing agreement forms part of our service agreement.
We never write, edit, filter or incentivise reviews, and we never screen customers before asking. Every review request goes to every customer you tell us about, and the review itself is written by that customer in their own Google account.
Service providers we use
Cloudflare (website hosting, email routing), Google Workspace / Gmail (our email), Twilio (telephony and SMS), Stripe (payments), and Anthropic (drafting assistance on our own operational text). These providers process data on our behalf under contract. Some may process data outside the UK; where they do, transfers rely on UK adequacy regulations or the International Data Transfer Addendum.
This website
This site sets no cookies, runs no analytics and has no tracking pixels. Our host, Cloudflare, processes standard server request data (including IP address) to serve and secure the site. The one external request the page makes is to Google Fonts for a single typeface.
Your rights
You have the right to ask for a copy of your data, to have it corrected or deleted, to restrict or object to how we use it (including an absolute right to object to direct marketing), and to data portability where it applies. Email us and we will respond within one month.
If you’re unhappy with how we’ve handled your data you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint, or call 0303 123 1113. We’d rather you told us first so we can put it right.
